33rd GENERAL CONVOCATION

INSTRUCTIONS TO GRADUANDS

01. DATES OF THE CONVOCATION

The 33rd General Convocation of the University of Jaffna will be held on 8th of June 2018 in the Kailasapathy Auditorium of the University of Jaffna.

The order of conferment of Degrees is annexed herewith

02. PASSES FOR PARENTS/GUARDIANS

  • One pass will be given to you to admit one of your parent/guardian to the Auditorium. Wide Screen facilities will be made available for others to view the ceremony within the university premises.
  • Parents/guardians who are allowed to see the proceedings in the Auditorium should take their seats in the Convocation Hall before half an hour from the commencement of convocation.
  • All parents/guardians are kindly requested to remain seated during the proceedings. Please note that no one in the Hall will be permitted, in any case, to leave the Convocation Hall until the Chancellor’s Procession leaves the Hall at the end of the Ceremony.
  • Graduands and their parents/guardians are not permitted to bring cameras, suitcases, bags, cellular phones or any other article into the Auditorium.

03. CONVOCATION DRESS – VERY IMPORTANT

  • Male graduands should wear the National Costume or a full Western Style suit. Female graduands should wear Saree/National Costume. All graduands should wear the Convocation Cloak.
  • Female students with long hair should tie it in such a way that would not impede garlanding by the Chancellor. See the Sample Picture.

04. PROCEDURE FOR THE CONFERMENT OF DEGREES

  • The graduands of the Faculties will be presented by the Deans of the respective Faculties.
  • A booklet containing the list of graduands will be given to you at the Convocation Hall.
  • When your name is announced, you should be present in front of the stage presenting yourself to the Chancellor for the conferment of the Degree. You should receive the Garland, and thereafter, return to your seat. You should remain seated until the ceremony is over.
  • All graduands are required to rise when the Chancellor rises to declare the closure of the Convocation, and remain standing until the Chancellor’s Procession leaves the Convocation Hall.

PLEASE NOTE THAT ALL GRADUANDS AND THEIR PARENTS/GUARDIANS SHOULD WALK OUT OF THE CONVOCATION HALL AND ITS PREMISES IMMEDIATELY AT THE END OF EACH SESSION IN ORDER TO FACILITATE ARRANGEMENTS FOR NEXT SESSION

05. RETURN OF UNIVERSITY IDENTITY CARDS
You should handover your University Identity Card to the Senior Assistant Registrar Admission Branch when you obtain degree certificate.

06. PHOTOGRAPHS AND VIDEO
Inside the Convocation Hall
Please note that only the authorized photographers will be permitted to take photographs/Video in the Auditorium. If you need to get the copies of photograph/DVD you must register and make payment on the day of issuing cloaks to the following authorized photographer available.

Outside the Convocation Hall
Please note that a studio will be established by the Authorized photographer within the university premises on the Convocation day to enable you to take your photographs outside the Auditorium. The prices would be as follows and payments could be made to the Photographer.

07. RETURNING OF CLOAK & GARLAND.
The graduates should return the Cloak and the Garland to the Academic Branch and get the cloak sheet. The Graduands are required to get the cloak ironed, neatly folded and kept in the cloak bag when it will be returning. The time period to return the cloak & Garland will be from 18th June 2018 to 02nd July 2018 from 9.00 a.m.-12.00noon and 2.00p.m.-4.00 p.m. Those who fail to return them on the time period given requires to pay a fine for the delay according to the decision of the Council as follows;

Rs. 500/- per day after 02nd July 2018.

08. LOSS OF CLOAK, GARLAND.
In case of loss of Cloak and Garland the Graduate should inform the same to the Assistant Registrar, Academic Branch immediately. However, in such case, the Graduate should pay the replacement charges as follows according to the decision of the Council.

  • Cloak if lost/damaged Rs.3500.00
  • Medal with garland if lost/damaged Rs. 500.00

09. OBTAINING OF DEGREE CERTIFICATES
Graduates who have not paid their dues will not be able to collect their Degree Certificate although they return the cloak and Garland. Degree Certificates will be issued within two months after the convocation.

The Graduates are advised to collect their Degree Certificate while producing cloak sheet once the university announces the date for issue degree certificate.

* Please note that the Original Degree Certificate will be issued only to the recipient of the Degree.
